So does that mean I address to Small Planet and quote the original flight number? As for the arrival time, is an estimation still accetpable or do I need the actual time?

Small planet with the flight number from the boarding card.

Another quick thought - reading the guide again it mentions that if a package holiday you should contact the tour operator. We booked via Olympic directly so in this case should we send to Olympic rather than the airline? We had an ATOL email confirming it was a package holiday.
I assume send recorded post, not email?

You need to show willing and turn up for mediation as that is one of the court's favourites at the moment. If you case is like most then you will be in the right and you just need to stick to the facts.
