I have also been employed in this department of the railway.
As long as your pass was valid for the journey you were making you should take a photocopy of the ticket and send it in with a covering letter explaining the situation and a copy of the penalty fare notice.
The penalty fare will need to be cancelled through the appeals process. customer services will only refer you to the appeals process which must be handled by an independant company. The address given by mobilegossip is correct, there is no guarantee that you will win the appeal as you must have a valid ticket when you travel. However, under the circumstances you have explained I would be surpised if they did not cancel it.

Revenue Protection Support Services (RPSS) stopped using this phone number 023 8072 8950 or Fax: 023 8072 8904 in January 2006 - if you call these numbers you are unlikely to get an answer but it will still ring. They told me to ring 0870 166 0256 or fax 0870 166 0259.
IRCAS - only use automated phone service (so is useless) so it is impossible to speak to anyone I know this as I did get a reply from RPSS who were unable to help with a penalty fare issued by a train company they don't deal with.
Always contact the train operator and they will have a link regarding penalty fares - hope it isn't with IRCAS as impossible to speak with anyone but a computer!!!!0 -
Please dont just pay the fine as it will be easier , i am having ( and for the past 2 months) a dispute with SWT about a penty fare i got , as long as you write in and there is an investigation as to why the ticket isnt paid , you dont need to pay and should you write a letter that is strongly worded enough you might get away with it .Cashback: £0.00

This is pathetic - I have been attempting this afternoon to make a payment for a harshly-issued penalty fare but can not get through on the 0870 number.
I have tried about 5 times to get through to them but each time it just allows me to select an option (option 2 to make a payment) and then just rings and rings.
I eventually held on for it ringing for 2 minutes before an automated voice came on telling me all their operators are busy (oh really? don't think so.. con artists).. and that I should hold the line..

If you travel on the train you should pay!
If you have a season ticket then buy a new ticket and claim back the costs.0 -

I would like to express my opinion regarding the Unpaid Fares Notice I received on the National Express train going from Leeds to London at 19:40 on the 30th of July.
I bought a return ticket for 84 GBP. I entered the boarding area and got the ticket back but very quickly after when I was looking for which train to take I lost it; I don’t know what happened; I had many bags with me and I clearly remembered to have taken the ticket back from the machine before entering but I don’t remember what happened after that.
As soon as I boarded I informed a member of staff of what had just happened. He didn’t really show me any sign of comprehension and explained several times the machine gives the ticket back before opening the doors. Every time I answered I understood this but I had just lost the ticket after entering the boarding area and even if I lost the ticket, I couldn’t have entered without the ticket!
In the train, another controller checks the tickets and again I explain what happened. I showed him my receipts and also the return ticket I still have but he didn’t believe me.
I have paid my ticket and found it profoundly unfair to receive a fare of such a big amount when every clue you have indicates I paid for my ticket. Yes I did loose my ticket once I was inside the boarding area and you could argue I didn’t pay but in my opinion, everything points in the direction of me being innocent. I do have a receipt from Northern Company of exactly 84 GBP which is the exact price of a return ticket (Leeds- London-London-Leeds) and I also have the return ticket that stayed in my bag.
Please can I kindly ask you to reconsider the fee that was given to me?
