Letter to landlord

I am trying to draft a letter to the landlord of my workplace to ask if they can get some PCN’s cancelled, I have already sent the blue section on the newbie thread to smart parking.

This is what I have so far:

Good evening

I am writing to you as the registered keep of a vehicle in regards to Parking Charge Notices that have been received from Smart Parking on your land.
My partner works permanently within Blah and I am incensed to find that the company cannot get the tickets cancelled with Smart Parking.
As the landowner you hold the contract with Smart Parking and I am requesting that you have these tickets cancelled.
Please see below the list of PCN reference numbers to be cancelled:

    Perhaps it might be a good idea to explain how the tickets were incurred and why they should be cancelled.

    Is this a works car park?

    Personally, as I said elsewhere I go for polite but firm. I'd avoid words like incensed so soon. Most people don't react well to that sort of language . After all this is, quite possibly, the first they will have heard of it.

    ETA. I've just seen your other thread. Get a forum guide to merge the threads. Best to keep the story in one place so we can follow it

    In the normal interpretation of that sentence, the subject is ''you'' (i.e. the person receiving the email) and it suggests THEY are the registered keeper...

    Yes, but the structure of that sentence is wrong.

    "As the registered keep of a vehicle, I am writing to you..." makes more sense.

    My partner works permanently within (worklace) and I am frustrated to find that the company cannot get the tickets cancelled with Smart Parking. These were issued as my partner was a new member of staff and the number plate for my vehicle was not registered on the system.

    As the landowner you hold the contract with Smart Parking and I am requesting that you have these tickets cancelled due to the fact that my partner works there permanently and was working on the days when the tickets were issued.

    Please see below the list of PCN reference numbers to be cancelled:

    Why 'Good evening'? It's more likely they'll read it in the day isn't it? I hesitate over how best to address letters to people I don't know, but I'd go for 'Dear x', if you do know who will receive it, or even 'To whom it may concern' if the letter is addressed to a department within the company.

    First para: I'd go for 'My partner is a permanent employee within x and I am the registered keeper of ....' (and maybe add the vehicle's VRN for good measure).

    Re. second paragraph, I think it's more reasonable to describe the context in which the PCNs were received first, to put them in the picture before expressing frustration. And in order for them to appreciate how frustrating it is, why not explain more? For example, you could describe any efforts your partner made to get the VRN registered, or indeed why they did not know it needed to be registered ... anyway, just the facts without implying blame on either side.

    Then another paragraph if there have been attempts to get the ticket cancelled so far (again, just a summary of what has been happening, without blame).

    Then the frustration & how unreasonable it seems to receive a parking charge of (x amount) as a result of your partner parking at their place of work. And then the paragraph in which you request cancellation.

    A lot of nitpicking, you might think ... but in my experience, the better the letters I write, the better the outcome.

    Read what Pete Wishert, MP said recently in the House of Commons about Smart Parking

    "I am sick and tired of receiving emails from people complaining about the behaviour of parking companies, telling me that they will never again visit Perth city centre because of the negative experience they had when they had the misfortune to end up in a car park operated by one of these companies. I have received more complaints about one car park in the city of Perth than about any other issue. That car park is operated by the lone ranger of the parking cowboys: the hated and appalling Smart Parking—I see that many other Members are unfortunate enough to have Smart Parking operating in their constituencies. It has reached the stage where one member of my staff now spends a good part of each day just helping my constituents and visitors to my constituency to navigate the appeals process.

    The BPA does not have the ability to regulate these companies and has shown no sign whatsoever that it is trying to get on top of some of the sharper practices. The BPA gives a veneer of legitimacy to some of the more outlandish rogue operators by including them in their membership, allowing them to continue to operate. The Bill will oblige operators such as Smart Parking to amend their practices."


    Send copies to your employer and the landowner and complain to Your MP, parliament is seized of this scam.

    On 15th March 2019 a Bill was enacted to curb the excesses of these private parking companies. Codes of Practice are being drawn up, an independent appeals service will be set up, and access to the DVLA's date base more rigorously policed, and persistent offenders denied access. Hopefully life will become impossible for the worst of these scammers.

    Until this is done you should still complain to your MP, citing the new legislation.

    Just as the clampers were finally closed down, so hopefully will many of these Private Parking Companies.
    You never know how far you can go until you go too far.
