    Re. second paragraph, I think it's more reasonable to describe the context in which the PCNs were received first, to put them in the picture before expressing frustration. And in order for them to appreciate how frustrating it is, why not explain more? For example, you could describe any efforts your partner made to get the VRN registered, or indeed why they did not know it needed to be registered ... anyway, just the facts without implying blame on either side.

    Then another paragraph if there have been attempts to get the ticket cancelled so far (again, just a summary of what has been happening, without blame).

    Then the frustration & how unreasonable it seems to receive a parking charge of (x amount) as a result of your partner parking at their place of work. And then the paragraph in which you request cancellation.

    A lot of nitpicking, you might think ... but in my experience, the better the letters I write, the better the outcome.


    I have made some of the changes you mentioned, it definitely looks a lot better, I wasn't sure what else to write about why I'm frustrated. The fines total more than a months worth of my salary!

    My partner is a permanent employee within XXX and I am the registered keeper of VRN.

    I am writing to you in regards to Parking Charge Notices that have been received from Smart Parking whilst parking on your land, these were issued as my partner was a new member of staff and the number plate for my vehicle was not registered on the system.

    My partner did not know that the number plate needed to be registered as this was not made clear when they started in the role and when mentioned that my vehicle was being used there was no communication that it was not on the system.

    My partners’ manager within XXX contacted the implement director, who in turn contacted smart parking in order to have the tickets cancelled. Smart Parking declined this request and provided an email address to appeal. I have subsequently appealed directly on the Smart Parking appeals form on the website for each PCN and am awaiting contact.

    I feel that it is extremely unreasonable to have received parking charges of £100 a time when my partner has been parking at their place of work and I am frustrated by the response from Smart Parking.

    As the landowner you hold the contract with Smart Parking and I am requesting that you have these tickets cancelled due to the fact that my partner works there permanently and was working on the days when the tickets were issued.

    Please see below the list of PCN reference numbers to be cancelled:

    Have you sent it yet? If not, I'd suggest further changes but if it has been sent don't worry, it looks tons better as it is.

    4th paragraph ... the 'am awaiting contact' bit, how about 'am awaiting their decision'? Then you could add another sentence: 'However I understand that parking companies are very unlikely to accept appeals based on mitigating circumstances and therefore fear that Smart Parking will continue to demand £x in total in parking charges.'

    Final para ... how about 'and I am requesting that you insist that they cancel these charges given that my partner ..... etc.'

    Thank you so much for your help but it looks like I won’t need to send it. Smart parking have cancelled 10 out of the 14 PCN’s after sending the blue section on the newbie thread so will see if they cancel the last 4 tomorrow :)
