I'm sure you were, and perhaps still are, pretty stressed by the situation. We can be pretty blunt, but we are usually right in what we say bluntly!If the tenant is frightened of speaking to you then why doesn't she write? You really shouldn't discuss any aspect of the tenancy with anyone but the tenant without their express permission - even utility companies are careful over data protection these days.
It was me that said use recorded delivery and don't discuss the situation by telephone - I didn't say don't answer the telephone though.By all means exchange pleasantries, then as soon as anything controversial crops up politely remind the tenant (or her mum) that you requested written communication and that you will reply the next working day.
