Claiming from the post office.

hi.
one of my items which was sent recorded delivery on the 29th july is still not showing as delivered on the royal mail website.The person who won the item contacted me a week after winning the item to say he hadnt recieved it but was going on holiday for 2 weeks so will sort it out when he returns (which will be friday).What is
1.the procedure for putting in a claim to royal mail
2.do you have to provide a receipt for proof of value of missing item
3.do you get the other person to sign a disclaimer to say they havent received the parcel
4.would you send another item (i have a number of these for sale) or just refund (dont want the item to go missing again)
thanks in advance for your help

What has probably happened is that the postie tried to deliver the item when your buyer was out. They will have then returned the item to the sorting office where it is held for a period of 1 week (I think for SD/recorded). The tracking facility on the website does not always record this as I have had the same thing happen to me.
If the recipient is away for two weeks, the parcel should be returned to sender.0 -
I have had real problems with parcels just recently and recorded delivery ones seem to be worse than ordinary mail.
If the post office have tried delivering the parcel then they would have left a card, it should also say on the online tracking that the parcel is at the sorting office and the recipient has been carded. If it says that then suggest to your buyer that she phones her local sorting office to find out what is happening. If the online tracker shows nothing then start a claim.
You can either start the claim online and then print it off and send it off or you can get a claim form from the post office and send that in. You will need to send the RD slip and proof of cost, I usually send the ebay invoice with the user names blacked out and claim back the total cost including post and packing. Don't forget to keep photocopies of everything you send.
Once I know that the parcel is officially lost using the online tracking I tend to refund the buyer and do the claim at my own leisure. You might also want to give the tracking number to the buyer as well so she can see the status online and see that the parcel really was sent but doesn't show delivery.
I don't get my buyers to sign any disclaimers as I'm not sure what good that would do.

What bugs me though is that I have just had an item recently recieved by a buyer (who left postive feedback) which was sent by recorded signed for and it is still not showing up as delivered on the Royal Mail Track & Trace website. Not for the first time either.

I've got three RD parcels from 2 months ago that I have also had positive feedback for and which I know were received. Two are showing as 'come back later as your parcel may be delayed' and one shows as being at the sorting office awaiting delivery.
I have always tried to be patient with the Post office but I am beginning to lose my patience with them. I recently had a claim on a lost RD letter refused because the post office did not have the post code in their data base even though it is one of the UK s biggest universities. They didn't even bother to tell me until I phoned them to ask what had happened to my claim. When I admittedly got cross with them and ask what I was paying an extra 66p for they said it was nothing to do with them and if I had a complaint I should contact postwatch.

You can just get a claim form from any post office and complete it and either pass it into your local post office or send it off (hope it doesnt get lost), from what I remember you have to wait around 3 weeks before Royal Mail will declare the item as "lost" even if you use next day delivery on the original parcel as they still say it may turn up at a later day even though you have paid more to get expidited shipping

well the buyer still hasnt received the item so i will now have to fill in a claim form.does it matter if the till receipt (not the orange slip) doesnt have the details filled out ie under destination address: building name or number postcode val

I had to put a claim for a big parcel I sent through ROyal Mail. It was for a toolbox I sent that arrived with a smashed foot as it had been dropped on one corner. Buyer sent me two photos, which I saved and printed out. I then followed a link from the Royal Mail website which you left your email address with. I think this is the link:

Then I got an email stating very clearly indeed (which was nice in my opinion) what they needed - This included evidence of postage (i had parcels receipt) evidence of damage (photos) and things like value. (I had a receipt for £25 purchase cost)
As Parcel service has a standard £27 limit on compensation this was perfect, and very quickly I got a cheque back for £25. Matey who had the toolbox said I could just refund him £15 and he'd superglue the foot back together and would be happy with it. So Royal Mail boosted my sale by £10 indirectly. Serves them right for using a courier who probably treat their parcels with utter disrespect... It would take a good throw to do the damage done to it!
Another reason I try to use a different courier where possible.

You only actually need the orange RD slip and some proof of item cost to make the claim. The printed out slip is an added extra so it doesn't matter that the details are not filled in.
I would warn you though that the post office are being really really slow at the moment. My last two claims went in almost three weeks ago and have only just been received by the PO even though I handed the forms in an envelope over the counter at the post office!

my one and only claim to the post office was a nightmare!! I sent the claim form recorded delivery as i dont trust the royal mail on the 19th april. but the end of june i had still not heard anything so i called them, and they said oh did you not get the cheque we sent out on the 9th of may!! so can you believe the compensation for them losing an item got lost how ironic is that.
I have only just got the cheque 2 weeks ago!! But it was for more than i sold the item for on ebay as i sent them a receipt from a website who sold the same stuff but at a higher price. The reason i did this was i was told they dont refund postage costs!! so i still made about £4 on the whole deal as they covered refund and postage costs plus the extra £4 te he0 -
