Reasons car wouldn't show in databases used for part exchange valuation?

It has happened twice now at two different well-known used car dealer that the database they were using has been unable to find the car. The first time was Thursday and the second today. It shows up find on the DVLA database. It's a pretty standard car from a major brand, about 8 years old with just over 100k miles on the clock. It's not the end of the world as the dealership we ended up committing to buy from can just value it in person but just wondering why it can't be found on their system?

    DLVA error on their database. Personal plate change. Car has been exported/imported in the past (or both). Manufacturer made error when first registering car.

    Plate change would be my first guess. The commercial databases that dealers use can be slower than going directly to DVLA via vehicleenquiry etc, but give more detail.

    Perhaps you want to clarify? Everyone seems to be going down what appears to be a red herring of the DVLA which would have little to do with how CAP, Glass's or any of the other vehicle valuation tools work. Sure one option is to put in the registration and look up based on the information returned from the DVLA however you can simply select the vehicle by selecting make, model, mark, engine size etc. 

    Which valuation guide are they trying to use? Most dealers will typically have more than one but the old thing was always to "buy using CAP and sell using Glass's" given the rumour was one was always a little more optimistic than the other.

    Typically the systems used have a real-time link with DVLA to do a lookup on a number plate to retrieve make/model/engine/spec/etc and have no way to enter those details manually. There are so many variations on trim, engine, spec etc and its important to get these right because it affects used value quite a lot, so its understandable they want to keep the accuracy by insisting on plate, not just relying on manual entries of those details.

    CAP-HPI can even retrieve options fitted (by plate) and adjust the value based on these.

    It's been a while since I've seen the screens but we always had the option to revert to manual selection if we wanted/needed to.  Seems a major retrograde step if they have been totally taken away esp given we've had to value vehicles that arent on a plate etc

    Not so much a retrograde step as a proliferation of third party suppliers of data, which cut down the features - and the price.
