Can Close Brothers just simply say they cant find my agreement from 2009

Close Brothers have replied with a request for date of birth, vehicle reg, current and previous addresses.as they are unable to find my agreement.  Ive already sent these details. Theyve ended the email with 'Unfortunately if we still cant find the agreement we are unable to proceed with your enquiry' 

Is there a specific time scale they keep agreements for? The finance was arranged in 2009, paid off with a lump sum in 2015. Are they able to wash their hands of this because it was nearly 15 years ago?

    They are not obliged to keep records for ever so you may be out of luck.

    They are required to only retain data for as long is necessary.   The law requires them to destroy the  data after that.   
    You are not subject to the data protection act though.  So, you can keep your records for any period of you choosing.  If you have retained records, they can utilise your copies.

    The law is the other way round. They legally must minimise the amount of identifiable data they hold about you. Given legal action becomes statute barred after 6 years most companies set their record retention to 6-7 years after the debt is paid off as anything longer is very hard to justify and could lead to large fines.

    No, as above, they are legally obliged to destroy, delete or anonymise records
