Workflow Dynamics - received PCN inspite of logging car details

Hi all,

I attend a venue for a course regularly and workflow dynamics maintain the car park for that centre, I've never had a problem but out of the blue I received a PCN from them saying I have not made a payment for a specific day.
Every time I visit the centre I have input my car registration details into their parking Tab thats kept at reception and at the end you get a message stating that a parking permit is issued for the whole day. The drawback of this system is that I dont get any proof or receipt of this permit. I've spoken to a few other attendees and it looks like they've all gotten a PCN for the exact same day inspite of them having a permit being issued using that tab. What are my options here? Am I allowed to ask them to show me a log of all permits issued for the day or a specific time period? to see if there has been an error on their end?

I've attached a copy of the PCN and it looks like its a POFA compliant letter (contravention happened on 29/6) so I'm not sure on what grounds I'd fight this at the POPLA stage.

p.s Does it matter that these photos are not timestamped?

    Have you complained to the venue?
    The people that own the tablet where you all submitted vehicle details have a responsibility here.
    Remember 'plan A' from the opening post on the NEWBIES thread?

    You've hidden all the dates so it's not possible to confirm that the PCN is POFA compliant, but if you're sure...

    Are you the vehicle's Registered Keeper?
    Is this a company owned vehicle or perhaps a leased vehicle?

    All sign a joint Witness Statement stating your VRMs and the meeting you were attending, and all sign & date it confirming as truth that you ALL input your VRMs that day, so clearly the system failed that day.

    Complain to the venue owner and to whoever hosted the course, requiring both of them to get involved because clearly something went wrong that day and all PCNs of all course attendees must be cancelled (or refunded if anyone was dumb enough to pay) and they can tell WD to do that.

    Make sure you share that WS with every single person affected and tell them all to appeal AND TO COMPLAIN in droves, on the same basis.

    I hope nobody has been stupid enough to have paid the scam PCNs but those with leased or company cars will be at most risk, if idiot Fleet Teams just paying it (AND NONE OF THEM CAN IGNORE IT).

    People with company cars (or who have moved house and not yet updated their logbook address) are not safe. They won't even have heard about their PCNs yet.

    Please show us the other side of the PCN.

    Nope, I own it outright.

    So just to complicate things further, when I went online to lodge an appeal it says I cant do it. Annoying as hell, the date of the contravention was 29/06, letter issued on 09/07. looks like they havent even given me the whole 28 days to appeal!

    That contradicts this sentence from their Notice to Keeper...

    As you say, the 'issue date of this notice' is 9th July, therefore they must accept an appeal up until next Tuesday - 6th August.

    Their website includes a Complaints Policy. In paragraph 4 of that policy you will find an email address...

    Put a complaint in ASAP about being unable to appeal as keeper within the 28 days specified from the issue date, add your keeper appeal to the complaint as well

    sorry to sound stupid, but what exactly should have been there in the para (just incase I need it at popla stage)

    took your advice to email them on the complaints line and I got this autoreponse - 

    "Thank you for your email.

     

    If your email contained an appeal against a parking charge notice where an appeal had not already been submitted, an appeal will be logged for you and an appeal response will be sent within 28 days. Please send further queries relating an appeal to admin@workflowdynamic.com.

     

    If you have received an appeal response which you would like to challenge further, please refer to the POPLA procedure which is stated on your appeal response letter. This will allow you to challenge your Parking charge notice with the independent appeals service within a specific period following the decline of an appeal.

     

    If your complaint does not contain either of the above and is related to another matter, your complaint will be investigated fully and a response will be sent within 28 days of your email.

    - Do you think this is reliable enough to say I've put in an appeal or should I also send in a postal appeal? I know its not the recommendation but just wondering if it might be sensible to try/cover all bases?
