You probably already have diary - it's called a smart phone, so no need for a pen.

Actually, because I do much the same thing, a diary plus a pen is much easier than a smart phone.
It is not unheard of for employers to want to "audit" the data. It is so easy to give them a diary, and they can evidence no "doctoring" after the event. To have to faff about transferring stuff off a phone is a right pain then.
My diary for 2021 cost 75 pence in a local supermarket. The pen is "on loan" from a budget hotel chain. Each business trip, I just write the start mileage and destination and when I get back home, write the end mileage. Quicker than even unlocking the screen on a smart phone each time.
Also, I often put the smart phone in the laptop bag in the boot. The phone still links by bluetooth for hands free calls, but it is much safer as I cannot possibly be tempted to reach the phone to do anything while driving.0 -

Our drivers with fuel cards submit monthly expense claims online. Each business journey is logged with start and end postcode, distance, customer reference and reason, The system calculates private mileage using start and end of month mileage reading. Private mileage is automatically taken from monthly pay at a rate slightly above the Government advisory rate for the vehicle.0
