Is it best to pay the fees separately or have it coming out of the fund??

The 0.22% fund management fee is automatically deducted from within the fund valuation so is for information only.

The 0.15% platform fee can be collected by direct debit or the account cash balance (and if there is insufficient they will sell down some fund units to cash for you automatically). It's down to personal preference but obviously if you pay by direct debit the investment will be bigger at the end.

Best to pay separately so you don't lose allowance. I have divi paying funds/ETFs in my general account that effectively pay the fee without it being taken out of the ISA
  • I’ll change it tomorrow to take the money from my bank account, it set up automatically to take it from the isa.

Do you have to send Vanguard any documents or paperwork or is it all done online?

Some tasks such as requesting an ISA transfer from another provider require printed signed forms.
