I’m not sure that I agree that you’d have a paper trail if you post them a letter. How could you prove that you sent a letter and what the contents of the letter were? Email, on the other hand, would provide this.0 -

I'd prefer the email approach myself, but if absolutely needed to be done via snail-mail then the letter could be sent 'recorded delivery' to prove that they received it - provided that you were 100% sure on the delivery address and the letter had everything needed, then once received I'd doubt there would be any need for the sender to prove what was in the letter as the company would have signed for the receipt of it and they're not going to make an alteration to the copy they have.0
