The whole department thing is a load of crap. If the whole department knows about your compliance check then there is a serious data protection issue.
OP I honestly think you just need to submit your evidence and take it from there. There’s no point in guessing at this stage if they’ll accept it or not.
It’s entirely possible that they will never be able to disclose to you what eveidence they hold depending on what the source of that information is. Or they might be able to disclose some information but they are not going to do that before you first supply them with your own evidence.0
