    One thing I learnt in my time in another job was that we were trained not to keep personal info longer than we needed it.

    A reference is no longer needed after the tenant is in the property.
    Well life is harsh, hug me don't reject me.

    Pass on information to LL yes, not the physical report. That's not for the LL to see.

    It makes no difference whether you pass on the content of a document or the document itself, does it?

    The point is that as agent you are not entitled to withhold anything from your principal.

    Referencing is via a 3rd party , the tenant gives them the information and I am given a report. It is not my report to pass on. I don't withold anything form a LL what benefit would there be for me to do that?

    I don't want a troublesome tenant , I find the right tenant for the property, if I didn't I'm the only one who would deal with fallout from LL and T.

    A smart person would take the cue and seek to learn.
