Confirming Cancellation by managerat McDs Elland Road

I received an (overstay) charge from UKPC for parking in a McDonalds at Elland Road, Leeds. The 'Driver' was killing time and nursed a cup of coffee for 2 hours 30 minutes.
I rang the restaurant and without even asking for details they just asked me for the Charge Notice Reference Number, and promised to cancel.
I presume that the best course of action would be to send an email (unless a letter is absolutely necessary) to UKPC stating something along these lines:
I have spoken to Mc Ds and they have agreed to cancel.
Please send a confirmation that the ticket has been cancelled.
If they refuse to cancel please send a POPLA code.
Regards etc
I did find a sample letter for just this circumstance (having been told that the ticket would be cancelled), on the forum last night but can't find it again. If someone else can point me there that would be very helpful.
I also found an identical UKPC letter redacted from personal details on here (but again I can't find it now), so those familiar with the forum may be familiar with the sort of letter received.
Should I include anything else in my letter?
e.g. additional grounds for appeal?
Not a GPEOL (or as I also read here UKPC might be offering a contract in which case the fact that there is no VAT on the receipt)
No indication of what the charge is for. It is just a 'charge notice'.
No indication of length of parking permitted or overstay?
Really appreciate the good advice here. Thanks very much.

I wouldn't bother going into too much detail...I'd just write and say the tenant of the car park has agreed that the penalty was unjustified as you were a genuine customer, can you confirm the penalty has been cancelled and just leave it at that. Me personally I wouldn't even write to them.:footie:
Regular savers earn 6% interest (HSBC, First Direct, M&S)
Loans cost 2.9% per year (Nationwide) = FREE money.

I think I should email in case the McD manager doesn't follow through and I end up running over the time limit for an appeal.0

Hi Serigala
If you want to make sure you don't miss the appeal deadline while you wait for confirmation of cancellation - just send the template 1st appeal you will find in the sticky thread **NEWBIES!!
adding an extra point to points a) - e) alongthe lines of
"Your clients, McDonald's, have agreed they are instructing you to cancel this charge."
Submit it via whatever method/address UKPC have given for appeals
to them.
If posting take to post office and request a certificate of posting (which are free - no need to waste money on recorded delivery)0 -
Thanks ColliesCarer.
I was concerned that throwing the full weight of that appeal letter might distract from the quick and simple McDonalds said it was cancelled, so please confirm.
However I had also wondered whether if that is the only grounds for an appeal do I run the risk of running out of time (28 days?) or prejudice the addition of other grounds later if their confirmation of cancellation doesn't come through.0 -
It's up to you but would advise you don't over think this and certainly don't worry the full appeal may offend them.
Whatever you send they will either cancel when they get it because of it's contents or they will cancel because McD's tell them to
Or they will refuse and give you a POPLA code.
Personally I would send the template appeal letter with the advised add on (possibly removing the paragraph after point e) because UKPC often cancel anyway when that's received.
But if you'd rather just send the one appeal point - if they refuse and the promised cancellation doesn't happen and you have to do a POPLA appeal you can add in other grounds in then.0
