    e-mail and write, Send two copies from two separate Post Offices and get proof of posting for each. A small price to pay for peace of mind.

    PS...also got the cheque cancelled for piece of mind. Although Barclays were a nightmare about this. Maybe thats a post for a different day! :)

    Change "Please can you provide" to "Please provide" on the last line (you're not asking him if he can - of course he can - you want him TO provide a written reply); otherwise it looks OK to me. :)

    Thanks everyone for their help. I've sent the email yesterday and will send the letter today.

    I received a response to my that was directed to the manager....his response....

    "noted"

    Is that an acceptable response? Or should I press him for more words? I mean I've written a detailed account of what happened and what I expect so that fact he has acknowledged the email is good enough?

    How does that sound? Should I add a little threat at this stage to say otherwise I need to lodge a complaint to CAB or trading standards etc?

    Hey all, ignore my last two messages, I've replied. I have drafted the following letter to send. Any thoughts/advice would be appreciated.

    Dear Sir/Madam,

    On the 19th October 2014, I was visited at home by one of your salesman, xxxxxxxxx, for a quotation meeting. The visit was arranged through your representative at the B&Q store in xxxxxxx.

    During the quotation meeting, I handed over a cheque for £300 on the basis of a guarantee by {salesman} that I could cancel this order within a few days should I wish to, no questions asked, and without incurring any additional charges. He went on to imply that providing him with this cheque would merely be used to hold the price that was quoted on the day of the 19th October 2014. He also provided his mobile number to contact him direct in the event that I wish to not to go ahead with the order. I dated this cheque for the 20th October 2014.

    On the morning of Monday 20th October 2014, I contacted your order desk to confirm that I did not wish to proceed with an order. I was given an option of a further discount which I refused and requested that my cheque be returned to me. I was passed onto your order team to process my request and stated that I would be contacted later in the day to confirm how my cheque would be returned. No one followed up this call.

    After waiting the whole day, I again contacted your order desk on the evening of Monday 20th October 2014. I was put through to ‘Eddie’ from the order team who suggested I speak to {Salesman's Manager}, the manager of {Salesman}, the following day.

    On the morning of Tuesday 21st October, I spoke to {salesman's Manager} who confirmed that the order would be cancelled, and also confirmed that a written response would be provided confirming this, and that my £300 cheque would be returned to me as whole, without any additional charges. I attached a copy of a follow up email I sent to {salesman's manager}. As agreed with {salesman's manager}, please can you provide the following:

    1. Written confirmation that the order has been cancelled
    2. Confirmation that the cheque will be returned without charge to me at the address above

    Also, I would like to express my disappointment that {salesman} did not at any point refer to the terms and conditions of cancellation. I feel he may have misrepresented them to get me to place the order. Alternatively, his statements may be correct in which case there was no misrepresentation, so I would expect the order to be cancelled without charge and my cheque returned in full. Either way, I feel that such specific details should be communicated clearly and honestly to customers during quotation meetings.

    Please can you provide the requested written response within seven business days to resolve this matter.

    Personally I wouldn't have gone into all that detail. Just a simple "this is to confirm our conversation of ____ in which you agreed to cancelling the agreement of ____. Please return my deposit as agreed.
    signed ...."

    These people can be easily wound up. You just want the easiest exit.

    Agree with this - you have your agreement , no need to go over it all again.

    You should also inform them that the cheques has been cancelled asap - they may incur charges if they try and bank it which they may not be happy about.

    Hi Thanks everyone who have helped with this.

    Interestingly enough, I've had no response to my email to elaborate on the "noted" comment. I've sent a written letter yesterday.

    One question came to mind...If ive now cancelled the £300 deposit, which is what was expected in order to place the order, it technically means I haven't paid the deposit for them to start the work...so can the order not be void in this instance?

    The order required a £300 deposit, which they don't have.
