Outlook and deleting files from a server

I use Outlook to access my Virgin emails. I've noticed rfollowing a recent new set up that emails that I've deleted in Outlook are still in the Inbox if I access the Virgin mail server directly. I can see in Outlook a switch to delete them from the server once they're downloaded but I don't want to do this. I want instead to delete them from the server when they are deleted in Outlook.

Is this possible and how?

  • In outlook click edit, purge, purge options then tick the box that says purge items when switching folders.

Thanks for that. I'm at work now so will try it tomorrow when I get home. Do you know if that will purge mails from the last few weeks when it hasn't been set?
  • It will purge anything current in your outlook inbox those that are still on the server but not on outlook will need deleting manually alternativly if you can setup imap then you can synchronise the account to outlook and purge that way.

No "Purge" in my edit menu!

    I'm running Outlook 2007 (12.0.6539.5000) SP2 MSO (12.0.6545.5004)

In Outlook 2007 go to TOOLS Account Settings then select the account and click more settings and Advanced. There is a tick box marked "leave a copy on server" Remove the tick and all will be ok for future emails.

Thanks but I think that's the bit I mentioned in my first post where they'll be deleted from the server when they're downloaded. I only want them deleted from the server when I delete them locally. Can this be done?

Sorry if I've picked you up wrong but I'm not at the home computer just now to try things out and see what's happening.

Outlook (or any other email client) will behave differently depending on whether you are using POP3 or IMAP for receiving mail.

With POP3 (which it sounds like you have) the default is to download emails on a send/receive and delete them from the server. You can control this a bit with the 'leave a copy on the server' action (you don't get this option with IMAP).

IMAP syncs with the server, and leaves the messages on there until you delete them in Outlook and purge (you don't get this option with POP3).

Both are configured differently (as long as the server supports it), so for example POP3 uses port 110 and IMAP port 143.
  • as davb states the purge option would appear with IMAP, it sounds like your using POP3 which wouldnt be able to do the purge.

Thanks guys, I can confirm I'm using POP3. I'll have a dig around and see if virgin supports IMAP unless anyone knows off the top of their head?
