A colleague at work previously worked in a bank and she told me that I should tell HBoS that I wanted to see the reconciliation records for the cashpoint, as they should know exactly how much money was put into the machine, and exactly how much money was left. The 'transaction log' mentioned in my letter from HBoS wouldn't be conclusive (according to her), but that would probably be too much work for them.

Sounds right to me - at a guess the wrong notes were loaded in one of the stacks, hence it dishing out fivers instead of tenners. The transaction log would only show that x number of notes were dispensed from each stack, so would look correct. However a reconcilation log would show that there was a difference between the value dispensed and what the machine thought.

Many cashpoints give out £5 notes. The main Lloyds TSB in Newcastle and Bognor Regis both have a machine that does so.
  • There's a Lloyds TSB in York that gives out £5 notes too. My friends and I always used to go to that one specially in order to get them!

There is an inter bank agreement with ATM disputes.
Anything under £25 would be dealt with at your own bank - so the letter you copied would seem a bit suspicious.
Perhaps they don't believe you. If they won't refund start a formal complaint.

    JonesMUFC,

I was refunded the money on Fri afternoon, despite the letter saying there was nothing they (BoS) could do. I can only assume it was a goodwill gesture by BoS. The rest of their letter to me, dated 16 Apr 2010, went on to say

"I would like to advise that in no way are Bank of Scotland disbelieving your description of the events surrounding the transaction but, as the transaction was carried out using another Financial Institute's cash machine, Bank of Scotland must accept the results of their investigation into your claim. Unfortunately we have no control over the decision and therefore we are unable to refund your account.

I appreciate this may not be the response you were hoping for but I can only apologise for any inconvenience this matter may have caused you. If you have any further queries regarding this matter please contact me on the above telephone number.

    Yours Sincerely"

    etc.

The cash machine inside my local Barclays branch also dispenses £5 notes periodically.

Yep - I second that about the Lloyds TSB in Newcastle, I used to use that branch all the time. That self same machine has also short-changed me
