It seems as though the rules for group bookings are different, because under normal circumstances you can reserve a room, and then cancel it up to 1pm on the day of arrival, and it doesn't cost anything.
It would probably be best just to book the rooms individually and that gives everybody the flexibility of cancelling if something crops up last minute.
We use our Cash Plus MasterCard which reserves the room, but doesn't charge the card, and then pay it cash on arrival.
