I have done this a few times when i was looking after the residents committee of a block of flats where i used to live. As they didn't pay service charges i contacted the mortgage companies with full details and they gave the various people some time to pay and then when nothing was received they paid us on their behalf and assume they add the costs to the mortgage. When you take out a mortgage you agree to pay these fees due, as otherwise according to some leases if these fees aren't paid then the freeholder can essentially take back the property. ( Or this is how it was described to me). And no mortgage company wants the property forfeited back to freeholder - hence they pay.
I didn't have any help, i simply downloaded the land registry title ( dont need the plans) and then as mentioned under the charges area you can see if there is a mortgage lender. Then just write to them. It was amazingly simple. In one case one of the flats i was friendly with them but they could not afford anything and said little chance of things changing and she actually encouraged me to do this.
When you say you are a "freeholder (share of freehold)" are you sure that statement is correct ? Are you sure you are not a leaseholder, but with a share of the freehold which is managed by a group of people (maybe even yourself) ? If so the person who manages the freehold would need to do this. This might be you, but it might not. Depends on the setup of things. Give us some more background on the setup / houses involved etc.1
