Thanks for all the input - we have sought legal advice and it is currently being dealt with by them

What do your terms and conditions say about accepting returns? This is a business to business transaction so they have less protection in law than a consumer.
Essentially they are bound by what they agreed to.0 -
The item is there's so explain this to them. I gather its B2B sales, so you could refund the item with a restocking fee?0

It would help to see the rest of the terms and conditions. There's only one hit coming up if I Google the bit quoted - is it that website? If so note the bits which it says don't apply for business sales.0

Can you tell us what exactly this "item" is and what way have they used it to a point that it's totally diminished it's value?
Ultimately this is a business purchase and as such they can;t rely on consumer legislation to source a remedy.0 -

Why not ? My understanding is that the customer has told the OP to keep the item so is presumably transfering ownership
Also you customer may take the view that registering the product against their account protects you but is not of the slightest benefit to them and not be very interested in this problem.
I am not saying if this is reasonable or not

They've been told to keep it via social media. I would be extremely wary of accepting any kind of contractual agreement via social media. You open yourself up to all kinds of problems.0 -
