Don't Leave Work Personal Expenses to Build Up

Please tell your work friends that they really should ensure that they claim any work personal expenses on a very regular basis. I see members of my team only doing expense claims once every 5 or so months. Today one team member had a legitimate work expense claim of over £1,500. She had saved her expenses up because she said it was a faff to claim. I don’t think she had actually thought it would amount to so much. There are many problems with this. ( cash flow, lost receipts etc) But what frightens me the most is if the employer goes insolvent they may not ever get the money back.
I believe that we are lucky and work for a great company - I also expect the employees at Lehman's thought the same.
So many companies getting into trouble right now, employees risk giving the employer free credit and in the employer's defence they are usually not even aware that the expenses have been incurred.

    There was the same rule in place when I worked for one of the major banks. Expenses aren't supposed to be used as a savings scheme.

    It's genuinely easier to do them regularly - preferably as you go along - and claim each month, as most of us have found as we scrabble around trying to find receipts etc...!
    Googling on your question might have been both quicker and easier, if you're only after simple facts rather than opinions!  
  • You have just reminded me to do mine. My last claim was at the start of September.
    its not so bad now I have a company credit card, any time I use it, I just pass the receipts straight to the accounts clerk the next time im in the office, so mine is really only mileage claims now

    Yes, we have a rule that they should be claimed within 1 month, and if you are slower than on a regular basis accounts will remind you of this.. and there a hard 'claim it or lose it' deadline of 3 months.

    My company absolutely hated people accruing massive amounts of TOIL. People would wait and then claim a full week off, which the busy company just couldn't accommodate. In the end, the requirement was to take it back within two weeks, even if it was an hour here or there etc.

    Very good reminder. I done my mileage last Friday and it was approved Monday to appear in the next payroll.

    I submitted two months claims yesterday, in time for payroll cutoff. We have a 3 month limit, but it isn't quite claim it or lose it. Anything beyond that can be claimed in exceptional circumstances with senior manager approval.

    I've often seen people build them up deliberately, particularly in the run up to holidays.

    Companies often get twitchy at the end of their financial year - wanting to get the accounts closed off.

    My husband gives his PA £50 a month to do his as it's not in her job description. Without her doing it he would be at least six months, and thousands of pounds, behind.

    When I administered corporate credit and fuel cards I had to bring in a policy of deducting the charge from pay if the supporting claim wasn't submitted within two months or we would have literally hundreds of thousands in unsubstantiated expenses unallocated.
