Is it possible to have a spreadsheet thingy in word, basically i have attached the picture.

I need that to add itself up eg if i have 3 +3 in the total column it would come up as 6 hours like an excel sheet =sum formula.

Right in the centre of the toolbar is a button with an X on it the function of which is to insert an excel spreadsheet

thanks peat i assume that they have to have excel on there machine though ? other than that it sounds great

You can do it (with a bit of VBA programming) with MS Word tables.

If you are lacking the complete MS Office suite - why not ditch it and get Open Office - it's free, compatible and includes all the necessary progs (Word, Excel, Access alikes and additionals)
