Use the template appeal in the FAQ

It's designed to ensure you get a popla code

    Thank you - Will do.

Has anyone else had these cancelled by a retailer (such as a hotel) ? - If so, how soon do you receive acknowledgment from ParkingEye that it has been cancelled ?

PE normally do as they are asked by the retailer

It's just belt and braces for you to continue with the appeal process so you don't miss a popla opportunity should there be any problem

Thanks. I have 28 days from the 11/04/2018 to submit my appeal, so I think I will get it all prepared and give it a little time for the cancellation to come through, but be ready to submit the appeal should it not.
