Company car - private mileage claims

I have been with my employer for just over 2 years, due to the nature of my job which involves travelling to lots of different sites all over the country, I am provided with a company car and a fuel card. At this point i'd like to point out that I do not use the car privately as I have my own car that I use at the weekends etc. However I do understand that journeys to and from a fixed place of work count as private mileage. I submit the fuel receipts to a member of staff however I'm unsure what happens with them (I assume they are logged somewhere and reconciled against a report/data/invoice from the fuel card provider.)

However, recently it has come to light that I should have been submitting mileage claims for any private mileage, this was completely unbeknown to me. Now my employer has requested that I work out all private mileage since the beginning of my employment (some 2 years ago) and reimburse the company. I have not had any support from my employer as to how to calculate this.

I have reviewed my contract of employment which refers me to a 'car policy' which the relevant section refers me to an 'expenses policy' in a 'company handbook' located in a shared location on the company's computer network. This expenses policy provides minimal information as to what is required, how to log and submit mileage claims and who to etc.

Just wanting to know how I stand on this as I feel that this is an unreasonable request from my employer that could result in financial difficulty for me.

Any advice would be most appreciated,

  • I am going back some years now but when OH had a co.car he was charged 6p mile for private mileage e.g in an expenses month they did 100 private miles then would deduct £6.

    Are you paying a fuel benefit charge? Would show on your P11d.

    HMRC publish the advisory fuel rates on the gov site - https://www.gov.uk/government/publications/advisory-fuel-rates
  • It does seem to me that the private mileage rules at your company assume that you don't have your own car in addition to the car they supply. If you genuinely use your own car for everything except travelling to work, can't you just calculate the mileage to work on the days you attended and put this in as a lump sum? Sorry, but you will have to repay this money, it's not just your employer's rule, it's HMRC's......

    (Unless your place of work is stated as being from home. If you can get your employer to agree that, you probably don't owe anything.)
