Outlook Voting Buttons

I have a question about voting buttons in Outlook

I need to email out a report to about 500 people and require confirmation from each of them that they’ve reviewed the report and have detailed any amendments required.

My plan is to use voting buttons, ie ‘yes I have reviewed and no amendments required’; ‘Yes I have reviewed and have the following amendments’ and ‘No, I am not the correct contact for this report’.

I need to be able to tell at a point in time, who has still not responded. Can outlook generate a report like this for me, or do I have to manually reconcile the responses to my distribution list?

  • If you look in the 'tracking' tab of your original message in the Sent Items folder, it should collate the responses there automatically.

  • Yes - if you keep the original email that you sent, you will find a tab called "tracking". This will list all the respondants and their 'vote'.

  • Thanks for those speedy replies. Will the tracking provide a list of those who have not responded? If it only shows those who have then I've got the tedious task of checking them off against my original list to see who needs chasing up. With 500 people in total that could be quite a task!

    It will show you all of them and whether they have responded or not.

    I did this with 100 once and after a period of time all of the tracking disappeared. I don't know what the limit is so maybe it's working keeping a list somewhere of those that have responded. You will probably also experience all of those people who are busy and half read your message and reply instead of voting! So, you will need to keep track of them somewhere since they won't show unless you mail them mail asking them to vote as originally requested.

    If you do this kind of thing a lot you may be better off with a custom mail app built in VB. A colleague at a previous company managed mailed to agents through one of these and since its in VB you can set up reports/automailing etc to save you time.
