Whenever we have new tenants, I write them a personal letter with our contact details and always send a bottle of wine and some chocolate. All of them without fail, text back. I encourage them to come directly to me/us if agents seem to be playing up. Not had any issues so far - touch wood - 3rd tenants moving in later this month and I've been in direct communication as we're updating the house and I asked if they had any preferences etc. Agents have been fine with that.
I would contact the tenants directly by writing them if I were your friend.0
