And OP if you are really concerned why have you not sought the advice from the regulator of the Data protection Act, the Information Commissioner?
It is not acceptable to use private email for storing personal company information unless the consent of that individual has been sought (although 'who is to know' provides a blanket).
You have found that this is being done -check with the ICO that this is acceptable (or not) under DPA - I think not but I am not ICO.
You can make a formal complaint to ICO who will then investigate - I know because my organisation has been investigated twice through a complaint to ICO. We had to supply comprehensive justification as to why we acted as we did and there was no consequence to us because we could prove we had acted within the provisisions of the DPA. We were very happy to do this work.0
