Backing up to other drive

Firstly, my OH insists that we have our own screens on the computer. I have Sage accounts on mine, which works perfectly but although the icon is on his it doesnt work right and doesnt automatically backup from the one on my screen?
Also we have just bought an external drive (G) and he has 'send to' the program Sage over but 1. I am concerned it is a shortcut and not the whole program and 2. can I get it to auto update when I backup Sage on my C drive screen?

I would assume that by "our own screens" you mean "our own accounts", so that you both have icons on the Windows login screen?
If so, are they both Administrator accounts? If you have separate accounts and keep the backups in the My Documents folder, you will each have a different My Documents folder on Windows XP, and therefore you will both be using different sets of files and data. Better to use a common folder to hold data, backups etc. I don't know if this can be specified in Sage, I've never used it.
And yes, Send To just sends a shortcut to the program (or whatever was sent to G). You can't copy it either if it's a program, only data can be copied as a program needs to be installed.0
