They are breaking the law if they are asking for documents for immigration purposes, even the police are not currently allowed to do that.
The company are required to check that you are entitled to work in the UK, before they make the job offer or on commencement and there are strict rules about keeping WORM or photocopies of the proof.
They are not allowed to ask current employees for documents unless they are moving to a new job within the company, see

It looks to me as if their defence procedures are poor and someone has realised this and is trying to plug the gaps.
I am also really concerned that your employer seems to be allowing you to provide photocopies? HR must see the original document, check that the information is correct and then photocopy or WORM it themselves. So even if you gave them the info, it may not constitute a proper defence! If you've have not made a mistake, you've made nothing0 -

Why should she have to go through all this hassle again, when she has already forked out for the longer Birth Certificate, made a copy and hand delivered it to them. It is not her fault that THEY have lost them. TS Aly did what was requested of her, and the company screwed up - now SHE is being threatened with suspension.
Where is the fairness in that?
Short birth certificates do not meet the requirements for a defence under section 8 of the Asylum and Immigration Act 1996.

I have just been reading through my own threads just to conclude them.
RAS - we had the same thought as you. They were saying Immigration needed this ID or we would be suspended because they either Lost peoples ID or never got it in the 1st place and were slack. My Area manager was doing a check.
Personnel have NEVER seen any original ID only photocopies, which i could have made on the PC for all they new. The store doesn't have a photocopier!!??
This situation has been resolved my myself and my partner putting the ID into our file, to make sure it was there.
- just another thing too - when my partner was called into personelle in his lunch hour he argued about his data being lost and she just said ' well its not my problem, you knew we needed the ID and you will be suspended soon if we dont get it. I want it for tomorrow. Its the page with your picture we need.) okay he may work in a supermarket but god he's not that thick!!
All sorted now. They just want us to work 11am - 9pm on one sunday to do the stock take !!!! GRRR!!!
Maybe we should have put up more of a fight... but anything for an easy life.0 -
It isn't just supermarkets......I used to work for a well known pub chain and ended up giving them 4 photocopies of my passport as they kept losing them.
Although I understand the reason why they need the info-They are subject to huge fines if found to be employing anyone who is an illegal imigriant and race discrimination laws mean they have to treat everyone the same -however the casual way they (mis)handle what is essentially confidential documentation is utterly unacceptable especially in these days of identity fraud.I Would Rather Climb A Mountain Than Crawl Into A Hole
MSE Florida wedding .....no problem0
