Company looses my ID and then threaten suspention

The company i work for recently asked for ID eg- birth certificate or passport for 'imigration purposes' I told the supervisor that they already had a copy of my birth certificate, driving licence and NI number. Personnel said they didn't have this on record even though i had to provide all this when i started working for the company 2 years ago.

Feeling a bit annoyed i photocopied my birth certificate again but personnel said it was the wrong one and they wanted the one with my mother and fathers name on. So I paid for a copy from the registry office.

I handed a copy of the 'correct' certifcate two weeks ago.

Today my supervisor telling me that personnel need my ID urgently or i will be suspended. I told the superviors i gave it personnel two weeks ago. she called them up and they said they had nothing on file.

THEY HAVE LOST MY ID. god knows where it has gone. I personally hand it to someone in the personnel office. So they have lost two copies of birth certificates, driving licence and NI number.

Well isnt that bloody good. Surely they have a duty to take care with information like this. WHAT ABOUT THE DATA PROTECTION ACT.

For all I know someone could have stolen it from work, someone could have sold it on. I could be at risk from fraud now due to the incompitance and total lack of respect for my personal data from other staff.

Is there anything i can do about this. Not only do they wont my ID ASAP (why should i do this when they have lost it all) they are threatening to suspend me!!

Have they broken the data protection act or something similar?

They only witness who i have to giving them new copies is my partner who also works there.

I am angry and also worried.

Any advice would be greatful recieved

    I work for a large supermarket chain.

    They said they need copies of the ID for Immigration. Why would immigration need this from the company I work for? There was only a verbal request for copies of ID and nothing in writing

    Do you have any offical quotes i can gives the bosses, to say they dont have to right to keep copies. I want to throw this back in their face. I have had so much hassle from them lately... everyone has.

    I am also with the trade union USWDAW do you think i should get in touch with them about this issue.
  • In reply to ts-aly2000 - why would you not want a prospective employee learning about your background unless you had something to hide.. I am all for these checks especially with the terrorists and the way our country is run today!!!!

    I'm a bit hazy on this but doesn't the Data protection Act (DPA) have an Ombudsman who may give you some advice on this?

    I agree, however, TS Aly is not disputing the fact she has to give the information, but has been very unfairly treated. Why should she have to go through all this hassle again, when she has already forked out for the longer Birth Certificate, made a copy and hand delivered it to them. It is not her fault that THEY have lost them. TS Aly did what was requested of her, and the company screwed up - now SHE is being threatened with suspension.

    Where is the fairness in that?

    I imagine any serious terrorist would have made an ID for themselves anyway!

    That aside though, I think the security risk is the OPs biggest worry. They have provided the info and it has been lost - surely, if there are good reasons for requesting the ID, then those same reasons apply to the handling of the said ID?

    They have to have ID because of the law, but that's not the point.

    You have supplied the ID, and it isn't your responsibility if they have lost it. I'd definitely get USDAW involved, especially if suspension is being threatened, as your shop steward should be able to iron things out for you.

    If they've lost the copy and need another they should pay for it.

    Well gess what...
    Went into work today and kicked up a fuss about them loosing my data. And I asked to search through my file to find it myself and there is was!!! all screwed up in the middle of it all. I was told that the personnel manager has asumed my ID would be at the front and not just shoved in somewhere by someone with the competence of a slug.

    However my partner who also works for the same company was told a few weeks ago they couldnt find his ID then last week they had found it again. But today personnel told me i had to tell my OH they needed his ID!!! OMG! I gave her a bit of stick and said she should look through his file too. but they couldn't find a copy of his passport.

    I told him maybe he should send it by recorded delivery this time and if they lose it tough.

    Bearing in mind though that before you are aloud to work for them you must provide ID So really they should admit they have lost it.

    mikeD we are both British citizens through and through.

    Alys, I think that you should put in a grievance. This is a serious failing on the part of the personnel department and they need to tighten up their procedures before a really serious mistake is made and an innocent employee suffers. The resolution that you can ask for is that they review their procedures completely in relation to ID requests and photocopies.
