Ukps popla appeal help needed

I posted on my previous thread but wondering whether I need to start a new one now that I am on the way to a POPLA appeal.
OK, I received the NTRK and sent an appeal to which I have now received a response. The postal address and name was right but the letter then referred to another person's name and the issue was also completely different (Not displaying a permit where actually this was private land). They did not supply me with a POPLA code in the letter and stated that I had to ring instead. I rang the office and the man wanted me to give an email address to send the POPLA code. I stated that I didn't want to give him my email so he said he would post one out (took my details). Have I done the right thing?
