SAR Letter - to check & share

Hi all,
I've edited a number of SAR templates I found, to fit my circumstances. It is regarding a loan that was refinanced a number of times (i.e. Loan 1 then refinanced, Loan 2 then refinanced, Loan 3 then refinanced, Loan 4 then paid off in full).
Just wanted someone to check that I haven't requested something beyond the scope of the Data Protection Act SAR?

Particularly, my Number 8 request?


Here's a copy of my SAR (Feel free to use as template, if nothing is pointed out as inappropriate).......



Dear Sir or Madam,
Account Numbers: **************
I understand that you currently hold details of my personal and financial information within your internal record systems with regards to personal loan accounts and credit card accounts.

I would be grateful if you would supply me with any and all historical data in your possession which relates to me. In particular this includes, but is in no way limited to, the following;


  • The original signed, executed credit agreements and any terms and conditions that applied to the accounts from the time the accounts were opened through to the time the accounts were closed.
  • A complete list of all transactions or statements relating to ALL of my Loan Accounts with your organisation, showing all repayments made, with dates.
  • The manner in which the credit was applied for, whether by post, via telephone or on business premises. Where applicable, the name of the salesperson at the time of the application should be provided.
  • The reason provided for taking out the credit (where records are available). A few examples include essential everyday spending, refinancing or consolidating other debts, buying a car or a combination of these or other reasons.
  • Transcripts/recordings of all telephone conversations recorded and any notes made by your company in relation to telephone conversations. Where telephone conversations were not recorded, I would request written and signed confirmation of this, and instead, I request to be provided with the sales transcript of which the sales person was instructed to follow, at the time of the call/s, in addition to transcripts of dates and times of when calls were made and the reasons for the call/s.
  • Documents relating to any insurance added to the account, including the signed insurance contract and terms and conditions, a full and detailed financial breakdown of how the insurance payments were calculated and applied to the account, and the date and reason the insurance ended (for example, insurance cancelled, loan refinanced, loan agreement expired etc).
  • Details of all interest applied to the account, including a financial breakdown of how the interest was calculated and the amount and percentage of the interest charged.
  • Details of how the loan/s were settled (i.e. by refinancing or otherwise). Where refinancing of the loan/s occurred, I require complete details, including loan settlement dates with settlement figures, any insurance closing rebate/s (where applicable) and a breakdown of how these were calculated. Where refinancing included consolidating other debts, I require ALL information held regarding the debts which were consolidated (including, but not limited to, the company name, account number, amount consolidated and date of consolidation and the nature of consolidated debt i.e. credit card or loan).
  • Where any previous information or records held have been deleted or disposed of, the methods used to do so, including dates, certificates, or references confirming details of destruction, should be included. Where you are unable to provide such certificates, please provide a declaration, signed by an authorised officer of your company, confirming dates and methods of destruction of this data.


Where you have used abbreviation and/or codes, I would request that an accompanying sheet be provided so as to translate these abbreviations and/or codes and their meanings. I also request accompanying appendices of the documents included and reference to the purpose or meaning to those documents.


I enclose a cheque for the statutory maximum fee of £10. This fee is to be used solely for the purpose of supplying the information requested in this Subject Access Request, securely and in legible condition. Please note that the above address is the one registered with your organisation and which you have previously, and still currently, find to be acceptable.


IF YOU ARE UNABLE TO DEAL WITH THIS REQUEST, YOU SHOULD IMMEDIATELY FORWARD IT TO THE PERSON WITHIN YOUR ORGANISATION RESPONSIBLE FOR DATA PROTECTION.

I look forward to your response within 40 days, as is obliged under the Data Protection Act 1998. If not, I shall seek remedy from the Information Commissioner.

    Apologies if I wasn't clear in my first post. But if anyone can take a second to read my 8th point (included below in italics for clarity), as this is the main point (specific to my circumstances) that I'm not sure is beyond what I can ask for, it would be appreciated.

    I appreciate the template posted by Moneyineptitude, however, as I didn't understand half of what was being requested, I only used that as a template but edited it to fit with the information I need to request.


    P.S. This is not necessarily for a PPI claim (depends once I check a couple details). But also to complete missing files and to check some other info

    There are no numbers in your template, but you can request any details you like. The point is that you'll only receive what they've actually kept on file for you-no more and no less.

    Indeed you have, but they won't be breaking down their records in the manner you request. They'll send (if still available) reams of paperwork detailing lots of information which you'll have to decipher yourself.

    I expected that. That would be fantastic! Just want the information requested (if still available), so great!
  • Just send the template I suggested, you'll get exactly the same result whichever you send.

    They clearly won't be. I think I already pointed out that they just send anything kept on file without any explanation or "breakdown". They certainly don't send any information about destruction or deletion of records...

    It's a poor template.
