Advice with recovering costs of Charity fundraising

Options
Myself and some friends are looking to to undertake a challenge to raise funds for charity. In order to do this it will need some financial outlay from ourselves for costs during the challenge such as transport and accomodation. The estimate is around £350 per person if we need to fnd everything - though we are looking to encourage donations of transport and accomodation to reduce the costs.

The challenge is to cycle from Edinburgh (Where we live) to Ypres in Belgium for the Centenary of the outbreak of WWI next year. With the proceeds going to the Poppy Appeal.

My question is: Is there any clear guidance on us recovering the major costs from the funds we raise?

We have considered holding smaller events up front to raise money to fund the main event, but this still leaves the question of what we can payfor out of the money raised and what we should pay for ourselves.

All suggestions are welcome - including pointing me at any thread that covers this that I have not managed to find!

    I would start by asking the charity you are raising funds for: they may or may not have such guidance, but asking the question is always a good way to begin.

    Is there an alternative method of raising money for the Poppy Appeal, which does not involve the expenditure of £350 per fundraiser.
    If you are querying your Council Tax band would you please state whether you are in England, Scotland or Wales

    The problem is many people say, "he wants to go on a cycling holiday and he wants us to pay for it?"

    Most charities expect the participant fundraiser to pay their own costs for the event otherwise everyone asks the previous question.

    You can raise funds to pay for your trip but you must be clear to the donor that is what it for and is not a charitable donation.
