    Dear DW Fitness

I wish to formally give you notice of my intention to cancel my membership at _____.

I understand 30 days notice is required and cancellation will take effect on __.

    Regards

    ?????

Doesn't exactly need to be extravagent.

Check whether notice has to be in line with payment date or anything.

Send recorded, keep proof of postage/delivery.

    One calendar months notice required.

Check item 12 of their Ts&Cs for the exact details.

Send it recorded delivery. How long have you been a member and where / how did you join?

Cancel by email. That's what I did a few years back.

  • If you do cancel by e-mail, it would be best to ask them to reply to confirm that it was received and are acting on it.

With a signed for letter you will have proof of delivery (if the postie gets the signature), but with an e-mail all that you will be able to show is that it was sent and not that it was received.

Stick a read receipt on it.

  • I've tried that on my e-mails and it never seems to work properly, but I suppose that's one of the pitfalls of being with AOL.
I keep meaning to change ISP's but never seem to get around to it.

Yes I accept it's unreliable but if it does work then it should be good enough evidence that it was read.

Some applications allow you to block read receipts being sent.

There's a clever website that generates an image with a unique name and you add the image to the email so when the image is loaded you are notified the emails been read.

Don't send it 'signed for', they can refuse to accept it and therefore prove you didn't cancel. Just get a proof of postage certificate, and that way you can prove you sent it and they can't prove it wasn't received.

Email read receipts can be disabled as already mentioned. Images will not be loaded by default by most email clients either because scammers use them to track which addresses are active and worth spamming more.
