Company requires a new cashless EPOS System

My company requires a new EPOS system for our canteen. We currently serve approximately 75 - 150 transactions a day.

At the moment the current system is a very basic till which receives cash which is then counted periodically and then deposited at our local bank.

We would like to change the system to a cashless based payment of some sort.



The ideal set up we are looking for would be.

EPOS with the ability to accept payments from a smart card (possibly RFID etc)

Also another challenge will be how the smart card is topped up with credit. We would ideally like the cash to go directly to the bank OR a central self service station on site which can collect the cash and issue credit to the smart cards.

There is a budget in place but this has not been finalised yet, please note if your bid is accepted you will be expected to submit a formal quote and will also be expected to visit our head offices in London to set up the system and provide training to the staff (which will of course be paid for).

This isn't really the place to solicit services, I'd suggest asking a few suppliers! It's a specialist setup requiring service contacts and ongoing fees, secure mifare stored value cards/fobs etc. At the same time you should look at making any vending machines cashless as well as maybe providing a daily quota for vending drinks which can all be done on card. It's nontrivial, and not particularly cheap FWIW, as you also need to reform your HR policies and still have cash handling for when people lose or break cards/fobs, or you have site visitors.

I understand there are advantages to going cashless but I think it will be expensive and complicated for one site. Seems a bit overkill for a canteen with approx 100 customers to be honest. With a coin counter and well thought out spreadsheet cashing up should take 15 mins a day with a once a week trip to the bank for change and banking the notes. Yes it isn't perfect but its cheap, simple and works.

Do you take credit and debit cards? If not then that could be a halfway house, you'll have money paid directly into your bank account and the setup is easy and not too expensive.

Is there a way people could pre-pay for books of vouchers for hot drinks or meal deals for example to cut down the number of cash transactions?
