Rules for the 2013 competition

1. Clubs must be fully open and operating from 1st January 2013.
2. VOTING WILL COMMENCE ON 1ST FEBRUARY AND CLOSE AT MIDDAY ON 30TH APRIL 2013.
3. The Health Club Awards are open to all private health clubs, gyms and leisure centres (provided they have gym facilities as part of their offering to members) in the UK.
4. NEW FOR 2013 – Fitness clubs in educational establishments are also eligible provided they have ‘paid for’ members. Students who use the facilities free of charge will not be eligible to vote.
5. The awards are not open to health or fitness facilities within corporations.
6. Clubs must have a minimum of 200 members.
7. Members may only complete the questionnaire once.
8. Members must not be influenced by their club while completing their questionnaires.
9. Questionnaires may not be completed by the club on behalf of a member.
10. Staff who work at the club or for another site or part of the same group cannot vote.
11. Members must enter a valid phone number when completing the questionnaire.
12. Members can complete the questionnaire from a computer set up in the club/centre
13. Clubs may offer their own incentive to members to complete the questionnaire.
14. Final scores for each club are based on an average score received NOT volume of votes received.
15. To qualify for the Best Budget Chain category at lease 5 sites must to entered.
16. Scoring for the Best Budget Chain will be based on the final scores from the top 5 sites entered.
17. To qualify for the Best Small Chain category at least 2 sites must to entered.
18. Scoring for Best Small Chain is based on the final score from the top 2 sites entered.
19. To qualify for the Best Medium Chain category at least 10 sites must to entered.
20. Scoring for Best Medium Chain is based on the final score from the top 10 sites entered.
21. To qualify for the Best National Chain category at least 20 sites must to entered.
22. Scoring for Best National Chain is based on the final score from the top 20 sites entered.
23. Awards for Business, owners of the Health Club Awards, reserve the right to disqualify any club who does not abide by the rules.

The following vote audit process will apply

1st PHASE

1. Self Verification – after voting closes each club must inform us of any duplicate or ‘rogue’ votes.
2. Phone number verification – any votes without a valid membership or phone number will be deleted.
3. Phone Audit – we will spot check, by phone, votes for each club – if voters are not contactable by phone OR they cannot confirm they completed the questionnaire the club in question may not be able to continue in the competition .

2nd PHASE

1. After the OFFICIAL SHORTLIST of clubs is announced in July 2013 a 2nd vote audit phase will take place.
2. Winning clubs for each region and nationally will be announced at the awards in September 2013.
