how to track a sale over 2 months ago

I'm looking for ideas to trace a sale.

Basic scenario is that I got a message from a 'buyer' saying that just over 2 months ago she made a multiple purchase from me and one item was damaged and I promised to send her out another one, and that replacement never arrived.

The item she appears to be querying is a line I was not selling 2 months ago, I had sold it a few months previous to that and I am selling it again now but I had no stock for a few months. Added to that I cannot find any messages from her either still in my ebay messages online nor in my desk top folder (I keep everything for ever). I can find no 'you've sold your item' email for this user either.

I have checked goofbay for a 90 day period and she bought this same item from a different seller, but feedback has been left both ways. She does not show as buying this from me. I don't always find Goofbay reliable, I might have missed all the emails etc when searching as I have hundreds of them- so how else can I check, any ideas? What worries me is that the more I look at the id she uses the more familiar it appears- and I have convinced myself I remember her- but I'm probably being silly.

If I owe her a widget then I'll send it, but it seems odd I cannot find any trace of her at all in my files.

  • Assuming that you received payment by paypal, can't you go into your account and see if you can find it there?
  • Or check your post office receipts/proof of posting for her name?

    I usually search emails for something similar (depends if you keep them or not). I use gmail's archive facility and can just search the buyer id (which will often be unique) and/or the item.

    I would have thought all email servers have a search facility.

    If they have paid with Paypal you can search email addresses on there.

    Well I couldn't find anything at all so I emailed back and explained that as politely as I could.

    I have now received a follow up email basically saying that I wasn't the seller after all, so not too worry. I assume that as I am about the only UK seller currently with this item on a large variable BIN that an assumption was made that I have always been the only seller and therefore the purchase must have been made from me.

    So, apart from wasting a good 40 mins this morning searching all my archives (I have sold hundreds of this item so difficult to pin it down to a single buyer) no harm has been done and all is well.
