Yeah my partner works within walking distance of them so he has suggested that too. Do you think we will be charged for these non-existent letters?0

Conveyancing is usually done on a fixed fee basis so unless you agreed to pay on a time spent basis you shouldn't be charged for them writing to you. Perthaps check that they've got your address correct; maybe the postcode is wrong so letters are being delayed.0
