You need something like "full and final settlement" and it needs to be explicit that by returning one lap-top (one account), her liability for any further payment ceases with respect to all three accounts. Make sure that it also says they cannot sell the debt on and that you check the account numbers.
I would be inclined to insist on something like "no liability for any other alleged debt with this or any associated company" to be added just in case the thief set up any other accounts.
I actually think you are letting BAYV off very very lightly, it looks like your MIL has been shafted for hundreds of pounds and they are being allowed to shove this under the carpet. There are a number of other threads about similiar problems with accounts related to this company (probably the same theiving employee) across the web. A bit in the local rag would do them a lot of good.
Oh - did you realise that the area manager or her rep has had their posts removed for MSE and the last thing they probably want is Mr MSE Martin taking an interest in their business model?If you've have not made a mistake, you've made nothing0 -

Matter now fully resolved.
Contract states it is a full settlement and that after receiving the item the balance on all accounts combined is 0. Coming out on monday to remove coin meter and refund MIL everything that is currently in the box. Account statement will be also sent out once system is updated stating that the balance on the full account is now 0.

Obviously the problem is this sort of cash theft is untraceable and hard to prove, eg. he could have removed £100 in cash from the box, stolen £50 of that, taken £100 from your m-i-l and handed £150 cash to the BAYV company, saying £100 came from the box and only £50 from her. The company would be oblivious if the customers weren't keeping track of how much was removed and how much they knew they should be paying back - and the sort of person who signs up for this service is likely not very good with money.0 -

Apparently everytime the box is emptied, there is record of how much is actually in the box(I cant remember if it goes straight to the office or is recorded on a microchip or whatever actually inside the box), so the only way they could have stolen without being found out would be with the extra cash he was demanding on TOP of what was in the box. I know, and have also told her, that it is highly unlikely, practically impossible for them to find out how much was stolen from her overall as it was all just dealt in cash, and its pretty much her word against his. And anyway, even if they did, its unlikely they will chase her to pay her back money owed especially now that the matter is closed.
Its just a kinda cut your losses situation. And in future get receipts for everything, lesson learned the hard way0
