The "not less than 3 months" doesn't mean how long you have to stay in Spain for....it means that any claim you submit for a refund must cover a minimum of three monts (or a VAT return quarter).

So if you stayed for 3 days and you incur more than400euros of expenditure then you can still make a claim just your claim would not be for 01 Jan to 03 Jan, it would have to be from 01 Jan to 31 Mar. You cannot submit another claim for expenses that cover that same period in the future.

    Hope that clarifies things.
Anger ruins joy, it steals the goodness of my mind. Forces me to say terrible things. Overcoming anger brings peace of mind, a mind without regret. If I overcome anger, I will be delightful and loved by everyone.

Probably not the right way to do it but what I do is pay by credit card and then when the statement arrives write the £ amount on the invoice and treat it like any other supplier invoice.

Depending on the size of your company it might also be worth investigating the “exemption for small enterprises” which is mentioned (but not explained) in the VAT 723A leaflet

If you could book and pay for the hotel, car hire, etc. from a UK company like Expedia you would be invoiced in GBP and have the VAT element you could reclaim in the usual way. If you went half board some of your food expenses would also have UK VAT.

This is definitely not right and could be picked up on a VAT inspection as there is no UK VAT element to the expense.

Not quite so easy on hotel booking with Expedia , Late Rooms etc as they only book the room, the contract is with the Hotel and you pay the Hotel whilst there.
    Good idea though .
