    Wow I didn't realise how good I had it. I can have it any way I choose, cash out of one of the tills before I spend, or cash straight after or built up & submit monthly to go on my payroll. It's just a straight forward matter of using the right form. :)

    I've always had cash up front for expenses, with employers paying train fares on their card themselves - and the same with hotels. I don't have credit cards so always told them "Pay up or I can't go".

    I have always insisted on paying for things myself and then claiming back, including stuff like a 4 week hotel bill. When you see £4k's of Nectar points and a maxed Egg cashback it's worth it in the long run, only works if you pay the card off in full each month though.

    Where I work, hotels and travel are booked by my employer and then you're given the tickets etc. We have to pay for petrol and meals ourselves then claim the money back later, they are quite prompt in paying expenses though.

    Any parts/uniform/equipment are ordered by the company's procurement people, it is possible to buy these yourself then claim expenses or use a company credit card, but you really have to justify why you are doing it this way and not going through procurement.

    First job i had that involved expenses we were given a sheet to state how many miles it took use to get from A to b and back again and at the end of the week the form was handed in. It would have been cheaper for the empoyer if i was given the rom that was booked for the employee who i replaced.

    Second job i had it was done when i filled up so i made sure that before i got to work i filled up with petrol(i chose either shell or BP as most expensive) but would only fill up if i needed it and submit the form plus receipts at end of shift and was given the cash. If i needed the petrol to get home i would fill up on way home and submit the receipts the following day along with the form.

    I exercise caution with what I charge now, on personal cards.

    Used to work for a large company where I paid everything and claimed it back, regularly in excess of my monthly salary.

    i wised up and pushed for a CC, which i never got, but finally got expenses paid out, after much nagging, two weeks later, company folded. They had over 1000 sites in the uk.

    Just paid nearly £1k in expenses for new job last week, however I have also been told they turn them around, by cheque, within the week.

    In the old days, and when workign for a bank, it was a case of having a company credit card (issued by the bank i worked for) which was paid off in full each month. Submit a monthly itemised bill with the attached receipts plus any cash claims and get the cash claims refunded in the next payroll run.

    In the last company prior to switching to contracting I had a business chargecard but I was liable to pay it off myself rather than the company (the company was the backstop if my DD bounced). That said I could incure expenses today, put in the claim form signed off by manager tomorrow and the expenses would be paid in a weeks time. Then when the chargecard bill came I would always have had the money given "back" to me to pay the card off with.

    That said, if you can get a reward card of some description then you will be better off than any other form of system.

    Expenses on my last job were a nightmare! I was employed by the NHS but the project (research) tender went through a local uni so I was based there and they paid my expenses from the pot of money. Because I wasn't employed by them there were no protocols for how quickly expenses were paid etc.

    I just used to submit my receipts on an ad hoc basis (usually whenever I was back in the office and had about £100 worth) and then they just sent me a cheque when it was processed- longest was about 12 weeks. The system was so inefficient that I got double-paid some claims (where the delay had been so long that it was assumed lost so I resubmitted it at their request) and I had to point this out and then negotiate re-payment of the money. I paid for things on a credit card, but often I had paid my balance before I saw the money. Luckily things like hotels (B&B only, they wouldn't include dinner so that had to be claimed back afterwards) and trains were booked up front.

    I'm glad I'm done with that system! I spent half my time photocopying receipts, emailing people to complain about my lack of payment and working out what I had and hadn't been paid.
