Getting a refund on debit card

Hi All

I was not sure where to post this. The moderator may move it if there is a more suitable forum.

It's a strange situation I'm in. I left a 500 pound deposit with an authorized Toyota dealer to hold a car for me. I used my debit card to pay for it. It was agreed that if I didn't want to buy the car after a test drive, they'd refund the money.

I test drove the car and didn't like it. They said they would refund the money, but they want to make a copy of the front and the back of my debit card. I thought it strange because the card's CVV is at the back and I didn't want them having a copy of that. They kept on insisting for it and are now giving me the run around by saying stuff like they need their account department's approval and blah, blah..

I have returned stuff and got a refund on my card on other occasions and no one has ever asked for the details of the back side of my card. I'm quite puzzled - has anyone faced a situation like this before? Is there anything I can do to get this refund?

    I don't work in the industry but when I have to give customers card refunds, if they aren't present I need the cvv number to authorise the refund so I would imagine this to be the same. Although I would insist that the record is destroyed as soon as the refund is complete. We shred all card details at the end of each day.

    Give them the details they want, ask them how long it will take, as soon as you have your refund, ask your card provider to issue a new card. Tell your card provider about this and that it has got you concerned that there needs to be a new account created not just a new card.

    You will be protected anyway for any unauthorised transactions
  • Sorry there's no way would I give them a copy of the reverse of my card with the CVV number on it ....you never know who will have access to it.

    Surely one way around this problem is to go to the dealership and get the refund put on your card in the same way as you would in Tesco....with you putting in your pin.

    another way (although abit of a pain) is to get them to send you a cheque for the deposit.

  • Thank you all for the responses. I too believe they shouldn't need the CVV. The problem with going to them and getting a refund on their machine is that I'm 40 miles from them and when I went last (to test drive) I had the card with me but they still wanted to copy the card details. When I refused, they told me that their accounts department was closed and they would come back to me and do it over the phone the following day. When they called the next day, they still insisted on getting the CVV number. That's why I felt they were giving us the run around.

    They have said they will do it today (I still haven't given them the CVV number). Let's see what happens - i'll get back when I hear from them.
    In case they still don't do it, do I have any options?

    The merchant agreements for credit card processing state that the CVV must only be stored for as long as is necessary to process the transaction. Then it must be destroyed. If they are keeping a photocopy of your card on file then they are in violation of this agreement.

    I had this issue when I put in a system for a customer of mine to OCR and electronically archive paper forms that had credit card information on (ie. pay by post). The banks had started insisting that the CVV code be on the paper forms. The best way I could come up with for complying with the regulations was to have it so that when the image was scanned I wrote a big black square over the card number and the CVV code.

    If they must photocopy your debit card, insist that the bit with the CVV code is cut out of the paper. Perhaps that compromise will appease both sides without the need to escalate.
