HB dept!! Again!

Wasted an hour talking to someone from my local HB dept yesterday. Anyway in the end got some of your paperwork has gone missing, AGAIN third time now!
Anyway i have received a letter from them and they want the details again and a letter from my partners university stating that she has finished, Fair enough we'll try this again but at the bottom they have placed a time limit of 7 days dated yesterday to get this information:mad: or the claim would be cancelled. It's going to be really hard to get write a letter off and get a reply from the uni and forward it to the HB dept within 6 days!
What we are thinking is to photocopy the letter we are sending to the uni and forward the reply to them as soon as we receive them, What do you guys think would this do?
I'd just like to add that the department itself has lost our paperwork 3 times now! and this is ongoing since early Feb. If they accept a photocopy of the letter could i slap a time limit of them to reply?

Sorry to hear that you are still having issues.
I would suggest that you send a letter (copy the one you are sending the uni) but do a covering letter made to the attention of a team leader. Send it recorded or visit in person and explain that it is because they have misplaced your paperwork.
If they have admitted it, do you have the name of the person you spoke to as if you include that in your letter, it would help any decision maker.I currently manage a Housing Benefit service and have been working in Housing / council tax benefit (as was) since 2001.
