Commercial landlord - maintenance charges

We let out my old office a couple of years ago. It's the ground floor of a house we own, and we rent out the upper floors too.

Anyway, there is some routine maintenance work to do, and we are not sure about what legal steps we need to take to consult with the ground floor commercial tenant, who is due to pay a proportion of the cost? Can anyone guide us or point us in the right direction?

For resi leases, there are various steps to take, but that's not a problem as we pay for the maintenance on the flats.
No reliance should be placed on the above! Absolutely none, do you hear?

    Probably a bit too commercially-based for people here to help. Landlordzone forums have a section that might be of assistance.

    And there is no mention in the lease? My approach would be to start the consultation as soon as possible to test the waters.
