backing up files

i appologise if this has been dealt with in the past just bought a 320gb external hard drive i have never backed up files before as i dont know how this model appealed to me as all you need to do is simply plug it in to a usb port then it searches + saves your data for you while you sit back + wait seems quite easy to use but once files are on external hard drive what do i have to do to then get my saved data back on to pc after it has crashed. + just one more question how often +what should i back up or is it better to back up all files cheers
