more help with excel

Many thanks for all of those who replied to my previous question on exel.
I have yet another problem.
Someone (who I cannot contact again) gave me a spreadsheet that allows me to sort a list of items.
Eg I have a shop which sells 100 different things.
Column 1 = date
Column 2 = type of item eg apples, oranges, bananas etc
Column 3 = price

The spreadsheet I have gives me a drop down menu in column 2 so I just pick from the list. The list is stored elsewhere.

The problem is that I now want to add more items to the list. I only have 13 at the moment.

How do I add more items to the list?

Have you tried adding more items to the list? Insert them into the middle. The best way to learn is by actually doing!

Click on the cell containing the dropdown list then go to Data > Validation. A pop up window will appear and you'll see a reference to where the list items are stored. Go to the cells containing the list and add your new items to it, noting the extent of the new cell range. Go back to the dropdown cell and change the Data > Validation cell range to include your new items.

If it's a combo box and not a data validation dropdown then you'll need to go into design mode. In 2007 click the Developer ribbon and click Design Mode. In earlier versions you can put your Control Toolbox toolbar on and click the first button (looks like a set square, ruler & pencil). Once in design mode right click on the combo box and select Properties. Look down the list for ListFillRange to see where it's picking up the entries from. For a data validation or combo box, if it is a named range you need to go to Insert - Name - Define to find out where the range relates to.
