You cannot claim relief for an estimated mileage.

You need to provide proof of what you are claiming.

How long will it take you to note the details of each visit as you do them? One/ two minutes?

If your routes are fairly predictable, you'll probably soon have details of how much the mileage is between certain clients, so you wouldn't necessarily need to calculate it from scratch for each journey each time.

    Not so

You can make a claim for these job expenses

You can claim tax relief for:

    Vehicles you use for work

Evidence to support your claim for tax relief

    Vehicles you use for work

You must send a copy of your mileage log to HMRC for each job. This should show why you made each journey, with the starting and finishing postcodes.

If your employer has not paid you back for any mileage or travel costs, you need to send a letter explaining why.

    Yes, I accept that.

My point was that often care workers have regular clients, and probably even regular routes. These details can all be recorded in a spreadsheet or document somewhere, with the relevant mileages, so that this can be input into the claim without having to open up Google maps (or other app) and calculate the mileage from scratch each time.

For example, keeping a standard record looking something perhaps like this:

    Client A - postcode AA1 1AA

    Client B - postcode BB1 1BB

    Client C - postcode CC1 1CC

    Client D - postcode DD1 1DD

    Mileage AA1 1AA to BB1 1BB = xx

    Mileage BB1 1BB to CC1 1CC = yy

    Mileage CC1 1 CC to DD1 1DD = zz

    Mileage AA1 1AA to CC1 1CC = ff

    and so on.

Each time there's a new client, enter their postcode. Each time there's a new start / end combination, add that to the postcode.

Obviously, for GDPR reasons, don't start recording names of clients on your personal devices etc.

Why would they need to open any maps.

Record the mileage shown on the car at the start of the journey and note it when you arrive.

    Repeat for each visit.
