Mileage claims for outreach workers

Hi, in the team I manage there is consistent lack of understanding about this issue (with senior management also seemingly unsure!).  Would love some guidance.

I have a team of outreach support workers over a large district.  We have one office but mostly they choose to go home to do their admin etc between appointments. The office wouldn't have enough space for all of them but this is their allocated permanent place of work.

The main question I have is - if they go to an appointment and then home and then out to another appointment are they allowed to claim the mileage in between to their home base?  Their home is not listed as a working base in their contract.

    That would entirely depend on the company policy, but probably not.

    the easiest way to sort this  is that the mileage  paid  for these visits is the lesser of  'home to call' or 'office to call'  unless  they;ve had to 'double back' because they  had to go to  the office first   ,, this would need the  approver ( likely their line manager) to have access to an accurate diary / rota  for the  workers

  • Do you have a travel/ mileage claims policy? If so it should cover your query. If there isn’t a policy then you could flag it up with your HR department that one needs writing.

    2 separate issues

    1. What the employer will pay & that is down to contract
    2. What HMRC think and is there either an over/under payment of mileage and a resulting tax bill/rebate for the employee
