Company altering signed and approved overtime payment

I regularly work approved paid overtime.
Overtime has to be pre-approved which is done by filling in a form and having it signed by line manager and then authorised by another manager.
At the end of each month this authorisation along with another overview claim form showing all hours worked this is again signed by myself and a line manager.
The forms then go to the commercial department and the main boss for processing.
The issue is that on several occasions the signed and agreed hours are changed and no notification of these changes is made (so the only time you see there has been an issue is when checking pay slips 2 months from the overtime period (OT is paid 2 months behind))

Previously I have questioned this and had reasons such as "you signed in at this time not that" (the sign in sheet is for the buildings fire register and is only signed when entering the main office building in the depot - sometimes work is carried out within the compound prior to entering the office)

My question is really are they allowed to alter these signed and authorised claims / forms without informing me?

    How timesheets are used is an internal matter for the company so they can change them without informing you. In your situation, I would check each payment and query everyone where the payment is not what you expect to receive. You may provoke them into changing their process so that any changes are advised to you.

    You need to bear in mind that you can only be paid for the overtime you actually work - you will never be paid for overtime that is approved but not worked. You should challenge any payments that don't match the overtime you actually worked.

    The solution to that - as you can point out to them, is that you enter the compound, walk to the office and sign in, and then walk back out to the compound. I have no idea how long that would take.

    As above first thing you do s sign in last thing you dois sign out if that what they say they will pay.
